Team First Realty considers the privacy and security of your personal information one of the most important responsibilities in our service to you. We may need to collect this information from you to comply with certain laws or to communicate effectively. You have the right to know how we use and safeguard this information.
We define different personal information this way:
- Sensitive Information (SI) may include tax identification numbers or banking information.
- Personally Identifiable Information (PII) may include your name, email address, phone number, birthday, or physical address.
We will not share, rent, or sell your information with any third parties for any reason.
We may use Virtual Assistants (VAs) to help us deliver quality and efficient service. We thoroughly screen and vet these individuals to ensure they are competent and trustworthy. We only share your SI and PII with these VAs on a need-to-know basis.
We will not share your SI with non-US persons (including VAs) without your written consent. We may share your PII with them so they may assist in communication with you and on your behalf.
We use secure methods of communication. For example, we will not send emails containing SI or certain PII, but we will use secure file uploads, electronic signature tools, or US mail.
We do not store paper hard copies of your SI since these require additional security. Rather, we store SI in electronic form in our industry-standard and secure IT systems:
- We use Buildium as our property management system and portal for Rental Owners, Tenants, and Vendors. We may upload certain SI here to enable ACH/EFT payments or PII to allow us to communicate effectively with you.
- We use Microsoft 365 for communications and secure digital file storage. We store certain PII here so that we may communicate effectively with you. Files containing your SI are stored in a secure folder which only our US-based resources may access.
- We use online banking to facilitate ACH payments. Only US-based management resources may access these banking tools, and we follow all the authentication and best practices required by our bank.
When practical, we will give you the same access to your information as we have through online portals.
